Online Exam Software for Schools, Coaching Centres and Certification

Online exam software lets a school, coaching centre, college or certification body run tests on screens instead of paper: building the paper from a question bank, sitting it in a hall or at home, marking it and publishing results. The demos all look alike. The difference shows up on exam day, when a hundred students start at once, the Wi-Fi drops, and someone's phone battery dies with ten minutes left.

We build Zingalify, an online assessment platform used for hiring, training and certification, so this guide leans on what we've had to engineer for, and it's honest about where we're not the right fit.

What to look for

A question bank you can reuse

Store questions by subject, topic and difficulty, so you can build a new paper in minutes and draw each student's paper from a pool. That one feature does more against copying than any amount of supervision, because neighbours no longer see the same questions in the same order.

Mock tests and finals need different levels of control.

Timing the student can't game

The timer should run on the server, not in the browser, so refreshing the page or changing the device clock doesn't add time. Sectional timers matter for exams modelled on competitive tests, where each section has its own limit.

Surviving bad connections

In much of India, and anywhere students sit exams from home, connections drop. Answers should save as students go and be buffered on the device if the connection disappears, then sync when it returns, with the timer still fair. Ask every vendor exactly what happens if a student loses Wi-Fi for two minutes in the middle of a paper.

When the Wi-Fi drops, answers should keep saving and the clock should stay honest.

Phones, not just laptops

Many students will sit tests on a phone. Check the exam is genuinely usable on a small screen, not just technically loadable.

Marking and results

Objective questions should mark instantly. Look for support for the marking scheme you use, sectional scores, score bands, certificates for courses, and an export your administration can work with. Long answers need a clean screen for teachers to mark against a rubric.

Integrity proportional to the exam

Weekly mocks need no more than a question pool and a timer. Final and certification exams may need a lockdown and proctoring. Our proctoring guide covers the options.

Running exam day

  1. Hold a mock a week before on the same platform and devices, with the same settings.
  2. Send the rules in advance: start time, duration, permitted materials, what to do if something breaks.
  3. Stagger large starts by a few minutes if hundreds of students begin at once on one network.
  4. Have a helpline, even a WhatsApp number, staffed for the whole window.
  5. Agree a fallback for genuine technical failures, such as a resit slot, before anyone needs it.

Keeping a question bank healthy

Tag every question by topic and difficulty when you write it, so papers can be balanced automatically. After each exam, look at how each question performed and fix or retire the ones that didn't separate strong students from weak ones. And assume any question used in a high-stakes exam will circulate afterwards: rotate it out of the next paper.

Students' data

Exam software holds results and personal data about students, often children. In India, the DPDP Act requires verifiable parental consent for processing children's data; in the US, FERPA protects student records and COPPA covers children under 13; in the UK and EU, GDPR applies with extra care for children; and in Australia, the Privacy Act and state education rules apply. Keep only what you need, for as long as you need it, and tell students and parents what you collect.

How exam software is priced, and where we fit

Most exam software for schools and coaching centres is priced per student per year or by institution. Zingalify charges per completed test instead, $1 to $3 depending on proctoring, with no monthly fee, and building tests is free.

That suits certification exams, entrance and scholarship tests, end-of-course exams and recruitment. It's not the cheapest way to run a daily practice quiz for hundreds of students: for that, a per-student subscription or a free tool such as Google Forms will usually cost less. Use the tool that matches how often your students sit tests.

FAQ

Common questions

What is online exam software?
Software for building exam papers from a question bank, delivering them online with timing and integrity controls, marking them and publishing results.
What happens if a student's internet drops during an online exam?
In good exam software, answers are saved as the student goes and buffered on the device, the server-side timer stays fair, and the attempt resumes when the connection returns. Ask vendors to demonstrate it.
Can students take online exams on a phone?
They can if the software is genuinely designed for small screens. Test it on an older phone before exam day.
How do I stop copying in online exams?
Draw each student's paper from a question pool in random order, set a server-side timer, and add a lockdown or proctoring for high-stakes exams.
Is Zingalify good for daily practice tests?
It's priced per completed test, which suits certification, entrance and final exams. For daily practice quizzes for many students, a subscription tool or a free form tool usually costs less.
